Xero & reconciliation
Work through these checks in order. Most problems are found in the first three.

Short answer: when an Amazon to Xero integration stops working, check in this order: has Amazon actually issued a new settlement; is the Amazon connection still authorised; is the Xero connection still authorised; and did Xero reject the invoice because of an account code, tax rate, currency or lock date. Those four checks fix the large majority of problems.
Amazon doesn't send sales to Xero as they happen. It groups them into a settlement, usually every 14 days, and the settlement only exists once the period has closed. In Seller Central, open Payments → All Statements and look at the latest closed statement. If the last one ended a few days ago, there is simply nothing new yet.
Amazon access can lapse when the account owner changes, a password is reset with sessions cleared, or the app is removed in Seller Central under Settings → User Permissions → Manage your apps. Symptoms: no new settlements appear even though Seller Central shows one. Fix: reconnect Amazon from your integration's settings and approve access again.
Also check the region. Amazon's North American, European and Far East accounts are separate. A connection made to the European account can't read Amazon.com settlements, and vice versa.
In Xero, go to Settings → Connected apps and make sure the integration is listed against the right organisation. If you have several Xero organisations, confirm the integration is posting to the one you're looking at. Fix: disconnect and reconnect Xero, choosing the correct organisation.
Xero validates every invoice. These are the rejections Amazon sellers see most:
| Xero message | What it means | Fix |
|---|---|---|
| Account code is not a valid code for this document | A mapped account was deleted, archived or is the wrong type | Restore the account or remap it in the integration |
| Tax type is invalid / not valid for this account | The tax rate doesn't exist in a UK Xero org, e.g. using "ZERORATED" instead of the income rate "ZERORATEDOUTPUT" | Use Xero's income versions of each rate on sales lines — see Amazon tax codes in Xero |
| The document date cannot be before the lock date | The settlement falls in a period your accountant has locked | Ask your accountant to move the lock date, or post in the open period |
| Currency is not enabled / multi-currency not available | A euro or dollar settlement can't be posted without multi-currency in Xero | Add the currency in Xero (requires a Xero plan with multi-currency) |
| The total for this document must be greater than or equal to zero | A negative settlement was sent as a sales invoice | Post it as a bill — see negative settlements |
Settlement invoices usually sit under Business → Invoices against a contact named after the marketplace (for example "Amazon.co.uk"). They're dated when the settlement ends, not when you posted them — so filter by that date, or search by the settlement ID in the reference.
If the invoice exists but doesn't match your bank deposit, the problem is with what was posted rather than the connection. Read why your Amazon payout doesn't match Xero. If the same settlement appears twice, see duplicate Amazon invoices.
TrueBooks shows the live state of both connections on its integrations page, tells you when Amazon or Xero needs re-authorising, and emails you if a settlement fails to post with the reason Xero gave. It uses Xero's correct UK income tax rates, posts negative settlements as bills, and has a one-click check that compares every posted settlement with Xero. See the Amazon Xero integration.
The usual reasons are that Amazon hasn't issued a new settlement yet (it pays roughly every 14 days), the Amazon connection needs re-authorising, or the settlement was imported but not posted. Check the date of the latest settlement in Seller Central first.
The account code or tax rate on one of the lines doesn't exist in your Xero organisation, has been archived, or isn't allowed on that type of document. Check the code in Accounting > Chart of accounts and restore or remap it.
Not normally. Connections stay live as long as they are used. If nobody uses the connection for a long period, or someone removes the app in Xero's Connected Apps settings, you'll need to reconnect.
