Negative Amazon Settlements

What it means when a settlement total is below zero, and how to record it properly in Xero.

Short answer: a negative Amazon settlement means the fees, storage charges or refunds in that period were bigger than your sales, so you owe Amazon money instead of being paid. Amazon collects it by charging your card or deducting it from a later payout. In Xero, record it as a bill from Amazon with the same lines and tax rates as a normal settlement, signs reversed, and match it to the card charge.

When settlements go negative

  • Quiet marketplaces. You store stock in an EU warehouse or keep a listing live on a smaller marketplace but make few sales there. Storage and subscription fees continue regardless.
  • Long-term storage or disposal. A removal or disposal order, or aged-inventory surcharges, lands in a period with little revenue.
  • Heavy refunds. A wave of returns after a sales spike.
  • Advertising charged against a low-sales period.

What you'll see in the settlement report

Alongside the usual fee rows, negative settlements carry balance lines such as:

  • Payable to Amazon — the amount you owe at the end of the period.
  • Successful charge — Amazon took the balance from your card on file.
  • Failed to transfer funds — the charge didn't go through; the debt carries forward.
  • Repayment of negative Amazon balance or Cross-Account Debt Adjustment — the debt recovered from a later settlement or another marketplace's balance.

These balance lines are money movements, not income or expenses, so they use No VAT and sit in a balance-sheet account.

How to record it in Xero

  1. Create a bill (Business → Bills to pay) to the marketplace contact, e.g. "Amazon.de".
  2. Use the settlement's currency and set amounts to tax inclusive.
  3. Enter each settlement line with its sign reversed: fees become positive costs, and any small sales become negative lines.
  4. Keep each line's usual account and tax rate — for example, UK storage fees billed after 1 August 2024 still use 20% (VAT on Expenses).
  5. Put the settlement ID in the reference.
  6. When Amazon charges your card, match the card transaction to the bill.

Why a bill, not a journal

A manual journal would book the numbers, but Xero journals can only be in your base currency. Most negative settlements come from euro or dollar marketplaces, so a journal would record the wrong currency. A bill keeps the original currency, the full VAT detail, and can be matched to the actual payment.

A worked example

A seller keeps a little stock in a German warehouse but made no Amazon.de sales in the period. The settlement shows a single storage fee of €3.58 (VAT included), so the total is −€3.58 and Amazon charges the card €3.58. In Xero this becomes a €3.58 bill to "Amazon.de": one storage line using the tax rate shown on Amazon's VAT invoice, reference set to the settlement ID, paid by the card transaction.

Frequently asked questions

Why can't I post a negative Amazon settlement as an invoice in Xero?

Xero requires a sales invoice's total to be zero or more. A negative settlement is money you owe Amazon, which in Xero is a bill (a purchase document), not a sales invoice.

Is the VAT treatment different when the settlement is negative?

No. Each line keeps the same tax rate it would have on a normal settlement — the fees are still Amazon's fees and any sales are still sales. Only the document type and the signs change.

Why does Amazon say 'Failed to transfer funds'?

Amazon tried to take the negative balance from your card or bank and the payment didn't go through. The amount stays owing and is usually recovered from a later settlement, which will show a matching repayment line.
